Educators: Edit, duplicate, archive or delete a plan

Edit, duplicate, archive, reopen and delete plans at your service or room level.

Edit an open plan

On your service's or room's Planning tab under Open plans, tap any plan to edit it. You can edit any aspect of the plan from there.

When you're done editing, tap Save and exit.


Duplicate a plan

Duplicate a plan when you want to reuse its structure - a weekly planning template, a term plan, or any structure you run each cycle. The new copy lands in your Open plans area, ready to edit.

How to duplicate a plan

  1. Go to your service's or room's Planning tab.

  2. Find the plan you'd like to duplicate. You can duplicate open or archived plans.

  3. Tap Duplicate.

  4. A confirmation appears. Tap Duplicate to confirm.

The duplicated plan appears in your Open plans area with the same title as the original. Open it to rename, edit content, or change any other details.

What gets copied across

Copied to the new plan:

  • All text, images, videos and documents within the plan

  • The plan's layout and cell structure

  • Children linked to the plan

Not copied:

  • Comments from the original plan

  • Sharing settings. You'll need to share the new plan with families separately

Plans with lots of images may take a moment to duplicate. A confirmation appears while the plan is being copied - wait for it to finish before navigating away.


Select multiple plans

To archive or reopen plans in bulk, put the Plans page into selection mode using Select plans.

You'll find Select plans at the top of the Plans page, at both centre level and room level. You can also choose Archive multiple from a plan's actions menu to enter selection mode directly from any plan.

Once you're in selection mode, tap anywhere on a plan tile to select or deselect it. Selected plans are highlighted. Use the action at the top of the screen to archive or reopen the plans you've chosen.


Archive a plan

When a planning cycle ends, or you simply don't need a plan in your active area anymore, archive it. Your Open plans area stays focused on what you're working on now, and archived plans are kept aside in case you want to reopen them later.

Educators at the service can still see archived plans. Families lose access to a plan as soon as it's archived.

Archive an individual plan

Tap the arrow at the top-right of an open plan's tile to archive it.


Archive multiple plans

  1. On the Plans page, tap Select plans. Or, open a plan's actions menu and choose Archive multiple.

  2. Tap the plan tiles you want to archive. Selected tiles are highlighted.

  3. Tap Archive at the top of the screen.

You can comment on an archived plan, but you can't edit.

Archived plans appear in your Archived plans area. You can comment on an archived plan but can't edit it. To edit, reopen the plan first.


Reopen an archived plan

To edit an archived plan, reopen it first. Archived plans live in the Archived plans area at the level they were archived from — centre planning or room planning.



Reopen an individual plan

Tap the arrow at the top-right of an archived plan's tile to reopen it.



Reopen multiple plans

  1. In the Archived plans area, tap Select plans.

  2. Tap the plan tiles you want to reopen.

  3. Tap Reopen at the top of the screen.

Reopened plans appear back in your Open plans area, ready to edit.


Delete a plan

Open the plan, then choose Delete from the top-right menu. Confirm when prompted and the plan is removed.

The plan is removed from the Planning area of everyone it was shared with.

Deleted plans aren't gone for good. You can restore an accidentally deleted plan from the deleted items bin for up to 30 days after deletion. See Educators: accidentally deleted a story, plan or community post.


Frequently asked questions

How long do archived plans stay archived?

Archived plans stay at your service indefinitely. They're only removed if an educator restores or deletes them.

Can families access archived plans?

Families can only access active plans you've shared with them. As soon as you archive a plan, families lose access.

Can I bulk delete plans?

Not yet. Select plans supports bulk archive and reopen only. To delete a plan, open it and choose Delete from the top-right menu.
