How to make a child's profile Inactive
You can make a child's profile inactive if you no longer want to create or update documentation for a child. This will remove the child from your active profiles list and they will no longer appear in any rooms they were once part of.
Family members will still have access to stories, notes, and any moments they create.
From the child's profile, tap the Settings tab and then the Make inactive now button, or from the Manage Children page find the child and turn off the Active toggle on the right-hand side of the child.
From the child’s profile:
From the enrolments page:
This will remove the child from the Active children list. Inactive profiles can be found on the Manage children page, usually under the Finished tab if the child’s profile has an end date that is in the past.
Note: We recommend you check the scheduled End date on the child's profile from the Manage children page. For more on this check out: Editing a child’s enrolment details.
How to find a child with an Inactive profile
From the Manage children page use the Current, Scheduled, and Finished tabs.
Any children who are currently enrolled who do not have an active profile will show under the alert filter. Tapping this filter shows only the children without active profiles.
Note: Tapping the filter from the Finished tab shows children with Active profiles who may need their profiles made inactive as their enrolment has finished.
How to restore a child
You can restore a child's profile if you accidentally made it inactive or if they have returned to your service. All currently connected family members on an inactive profile will remain on a restored profile.
From the Manage children page find the child and change the Active toggle to on from the right-hand side of the child’s name.
Alternatively you can also do this from within the child’s profile by tapping on the Settings tab and selecting Make active now.
Note: If you don’t have enough spaces on your plan you’ll see a pop-up when trying to activate the profile and will need to update the child spaces on your plan first.
How to export a child’s records
A child's profile can be exported at any time, whether the child is active or inactive. Only admin educators or admin family members are able to export a child’s records.
From the child's profile tap the Settings tab and then the Export button.
An email will be sent to the email address you are logged in with, with a link to download the child's portfolio. The link expires after 7 days so make sure you download the file before this.
An export currently includes Stories, Notes and Routines. Records that aren’t yet able to be exported will still be safely stored and can still be viewed from the archived profile.
