A guide to navigating the account page, including how to update subscription details and manage payment methods

Admin educators can manage their service's Storypark subscription from the Account page. This can be found by tapping the settings cog in the top right-hand corner of the website:


Your subscription details

Your service's subscription to Storypark consists of the number of profiles you are paying for, as well as the period of the recurring subscription, annual or monthly.

A quick overview of your subscription can be seen at the top of the Account page, for example:

You can also view this in further detail by clicking the blue lettering Change billing contact or payment method. This will take you to our billing platform.

You'll also be able to see any credit or discounts from promo codes displayed here. Depending on your country, you may also see sales tax.


Your billing details


When a service upgrades to a paid subscription to Storypark you'll be asked to enter your billing details.

These details can be viewed on the Account page at any time. Click the blue lettering Change billing contact or payment method.

Click Billing & Shipping Addresses to view your current billing details. To update your details click on them and you'll see all the fields editable and a blue update button:

Your billing email doesn't have to be the same one used on Storypark, but we recommend a current email address that your team check regularly. This means you won't miss any invoices.


Changing your payment method

If your service would like to change how you pay for Storypark, on the Account page, click the blue lettering Change billing contact or payment method:

The Payment Methods option on the next screen will allow you to add credit card details if you'd like to switch over to recurring credit card payments:

Following the same steps, you can also add a new credit card if your current one is expiring or add a backup option.

To remove a credit card - contact the customer support team.


Checking your billing history

You can view and download all your past invoices from the Account page. Click the blue lettering View previous invoices. This will take you to our billing platform. Click Billing History, to see an itemised list of your service's past and current invoices. Any of these can be downloaded as a PDF for your records:

Note: this will only show invoices you've received since you've had access to our new Account page.


Adding and removing spaces from your subscription

These details can be viewed and changed on the Account page at any time by an Admin educator.

Under the Billing heading you can change the number of children you'd like to pay for. Edit the number of children to reflect the new total you'd like to pay for, i.e. not just the number you'd like to add or remove.

Adding
You can add children at any time and any changes are invoiced immediately once you click Update plan. The additional charge will be based on the cost of the additional children, for the remainder of the current subscription period.

N.B. The total shown under Invoice total reflects the total amount you will be charged next time your subscription renews, not the total amount for any additional children. The amount you'll be charged for the additional children is shown once you tap Update plan.


Reducing
You can reduce the number of children at anytime. If you're reducing the number of children on your subscription, you can't enter a number lower than the profiles in use at your service. If you are using too many, archive the profiles you no longer require at your service and then return to the Account page.

There is also a fixed minimum cost for services with 1-15 children, so the lowest number you can enter here is 15.

Reducing the number of children bestows credit based on the change and how far through the current billing period your service is. This credit will automatically be applied to your next invoice(s).


Switching between monthly and annual subscriptions

These details can be viewed and changed on the Account page at any time by an Admin educator.


Under the Billing heading you can change your subscription period from monthly to annual or vice versa by selecting your preferred option:

You'll see the change in cost reflected in the invoice total below this when you switch. To see the cost of Storypark, visit our pricing page.

Switching from monthly to annual immediately incurs an additional charge based on the difference and how far through the current billing period your service is.

Switching from annual to monthly bestows credit based on the change and how far through the current billing period your service is. This credit will automatically be applied to your next invoice.

Note: the invoice total at the bottom of the account page is an estimate exclusive of any discounts or credits that may apply.


Pausing your subscription

Services may want to temporarily pause their Storypark subscription without cancelling it altogether. This is ideal for services that may be closed for part of a calendar year and don't require access during that period. This allows them to pause paying in the months they will not be using Storypark.

What does pausing mean?
When a service pauses its subscription, payments and invoicing stop. Educators' access to Storypark is revoked from the end of the service's current subscription period. However their work remains and nothing is deleted. This can be restarted at the date of the service's choosing.

How to pause or unsubscribe a Storypark subscription
Admin educators can pause their service's Storypark subscription from the Account page. This is known as unsubscribing.

Scroll down to the invoice total and the option to unsubscribe is directly below:

You'll need to confirm this by tapping the Unsubscribe button in the pop-up:

Note: Tapping the unsubscribe button pauses your subscription from the end of your current subscription period (whether monthly or annual), not before.

If you select unsubscribe part way through your subscription, it will be scheduled to happen automatically and 'Will not renew' is displayed at the top of your service's account page:

How to unpause or renew a Storypark subscription
To unpause your account - email the customer support team to restart the billing with your preferred subscription details:

  • How many child profiles you'd like to pay for

  • Your preferred subscription start date and period (annual or monthly).

This email needs to come from an Admin educator or the listed billing contact at your service.

Child space numbers upon unpausing or renewing

When we restart your subscription, we can adjust the child space number as long as it is equal to or higher than the number of child profiles at your service at the time when the subscription is paused.

We recommend you archive any child profiles who will no longer require a profile at your service before pausing your subscription so the numbers are accurate.

Payment upon unpausing

If you have a credit card on file at the time your subscription is paused, then the payment will be taken straightaway from the credit card when we restart the subscription.
