What’s changed:

New Area: Manage Children

This is a new central area for managing all children, guardians and contacts with key information about each available at a glance. Children are organised by their Enrolment status – Current, Scheduled or Finished and this status depends on their Start and End dates.

Active children appear in any assigned rooms, can have documentation created for them, and guardians can be invited. A child automatically becomes Active on their Start date. Inactive replaces what used to be called Archived and you can manage Inactive children from here. See Adding and Managing Children and Making Children's Profiles Inactive When They Leave for more information.

These centre-managed records can’t be edited by families. A centre-managed record for a child is linked to a family’s child profile, but if a family chooses not to use Storypark or later remove their child, it won’t impact current or archived records that need to be retained for compliance. Note: Families will retain control of any content they create and contribute to Storypark and can add/remove people from Family-added connections so we recommend you still follow your organisation's policies on exporting documentation.

The Manage children page will now show alerts on guardian profile images related to their Storypark access. These will highlight guardians that either: are yet to be invited, have pending invitations that haven't been accepted, or don't have an email address.

There's a new, faster way to view and move between children's profiles – open a child's profile, then easily go back to where you were with a single click.


Children’s profiles:

The process of adding a child is now from the Manage Children page and children can no longer be added from the top right menu. Uploading multiple children at the same time is not yet supported.

In the same way it works now, a child's profile will need to be active for them to appear in any rooms and be available for documentation. Children's profiles are either Active or Inactive, and Inactive replaces what used to be called Archived. Inactive children are now accessed from Manage Children. Inactive children will remain on the service’s Inactive list for as long as your service has a Storypark account.

Only admin educators can add and edit children's records, but all educators can see everything.

Regular days are managed from a child's profile under Enrolments. They can still be viewed from Routines but are no longer managed there.

Child profiles have been updated with new tabs for:

  • Wellbeing (document children’s individual support needs)

  • Enrolments (schedule children with start and end dates, set rooms and regular days)

  • Details (the child's name and date of birth details)

  • Family (shows Guardians, contacts, siblings and those with access to Storypark)

  • Settings (manage their profile settings, and export)


Family records:

New guardian and contact management lets you keep records of guardians and other contacts (regardless of whether they use Storypark), including their relationship to a child, emergency contact information, and anyone authorised to pick up a child. You can also link siblings together, and connect guardians and contacts to multiple children. See Adding and Managing Family and Contacts for more information.


Inviting family members:

Originally, educators could invite one or two guardians to a child’s profile on Storypark. After the first guardian signed up, inviting additional family members could only be done by the family admin. You’ll now have the ability to add more robust records for a child’s family, including whether they are a guardian or other type of contact, and assign who is the Primary Contact if there are multiple guardians. You can also add their relationship to the child, contact details, whether they are an emergency contact, and if they have authority to pick up the child.

You’ll still be able to invite guardians to Storypark, but the new records can be created regardless of whether these people have a Storypark account.

The way to invite guardians to Storypark has moved – You'll now find this on a child's Family page, not in the top navigation.

Wider family members that have been invited by a family admin and have access to Storypark, but are not part of the contact records your centre would like to maintain, will show under Family-added connections.


Enrolments:

Add children to Storypark ahead of time, scheduling their start and end dates, expected attendance, and room. View the children at your service by whether they are Current, Scheduled or Finished.


Multiple enrolments:

Children can have multiple enrolments at a service. This may occur if the child leaves and returns, or if they attend more than one programme (eg. Kindergarten plus a dedicated holiday programme).


What’s coming?

  • Expanded child records, including capturing details about language, culture, and more.

  • Enrolment forms to capture information from families, reducing paper and double handling of important information.

  • Attendance tracking including family sign in and sign out

  • Attendance scheduling and bookings, for more accurate planning
