In this guide learn about:
Note: Attendance is currently only available to services on the Pro plan.
What is attendance?
Signing children in and out, as well as recording absences can be done by educators for any child at their service.
On the Storypark for Educators app, you'll find attendance under the Routines tab:
Children are in alphabetical order, with each child's most recent record visible. Across the top, attendance is split into three tabs, All children, Present and Pending.
Tapping on an individual child's row will pop up all their recorded attendance and routines for the selected day:
Recording and sharing attendance
Recording attendance
All educators connected to a service on Storypark can sign children in and out and mark them as absent.
The date and time when recording attendance are the present by default, but they can be edited to reflect any sign in/out/absence that took place earlier.
Attendance records are live on Storypark as soon as an educator records.
Signing a single child into and out of a service
Tap the arrow by the name of the child to sign in or out and then on the pop-up window, tap the blue plus and select attendance from the drop-down menu:
Tap Sign in or Sign out and add any details or observations into the text box as required:
Tap Add to finish signing the child into or out of your service.
Signing multiple children into and out of a service
Sign in and out multiple children from the blue create button at the centre of the screen. Tap on the attendance icon (an open door):
Select children's names and tap Done to create a new attendance record:
Tap Sign in or Sign out and add any details or observations into the text box as required:
Tap Add to finish signing the children into or out of your service.
Recording an absence
Children may be absent from a service unexpectedly, or due to a known reason - read below to understand the features available to log both types of absences.
Select a child to add a new attendance record for.
Tap Absent and a toggle will be on by default to automatically notify the child’s family admins of the absence once the record is saved:
These notifications are helpful for following up with the child’s family when the absence is unexpected. Absence notifications are sent via email and to the family admins’ mobile device:
Note: Family admins cannot opt out of these notifications.
If the absence is expected, you can tap the toggle to switch off notifications and add any details or into the textbox about the absence.
To finish recording the absence, tap Add at the top right-hand corner.
If notifications are toggled off, family admins will still be able to to view the attendance record as soon as it it is logged from the Storypark for Families app - they will just not receive a notification as well.
Viewing attendance
Educators can view attendance records at their service from both the Storypark website and the Storypark for Educators apps.
Attendance records are available to view from within the centre's routines, in each room and on a child's profile, for example:
Note: From the website, attendance records are view-only.
Editing and deleting attendance
Any published attendance record can be edited by tapping onto the record and then the pencil/edit icon next to it:
To edit, make any changes to the details, then tap Save:
To delete, tap Delete in the bottom left, then confirm. This can't be undone.
All records need to edited or deleted one by one, even if entered for multiple children at once.
Note: From the website, attendance records are view-only.
Download and print attendance records
If a copy of attendance records is required to keep outside of Storypark, educators have the option to export them from their service's Reports page on the Storypark website. These can be saved to manipulate further in a program like Excel and/or print.
What families see
Family admins will see new attendance records for just their child/ren as soon as they're entered, but won't receive notifications. They can view these on the Storypark for Families app or the Storypark website.
If you are recording attendance for the first time for a child, their parents may need to log out of the app and then log in again to see the routines tab pop up.
