Viewing, downloading/exporting and printing attendance records

How long attendance records stay on Storypark


Attendance records are saved indefinitely on Storypark, i.e. they are not deleted unless an educator chooses to delete them. This applies even after a child leaves your service and/or their profile is deleted.


How to view past attendance records

For record keeping you will be able to look at all attendance records ever created since your service started using this feature. Under the service's routines tab select Attendance next to All routines, then select the date you are interested in from the calendar to see that day's recorded attendance:

Exporting attendance records outside of Storypark

If a copy of attendance records is required to keep outside of Storypark, educators have the option to export them from their service's Reports page on the Storypark website.

The export is sent via email and has the option to download the files as as a formatted spreadsheet (.XSLX) and/or as an unformatted .CSV file. We’d highly recommend selecting the spreadsheet option if downloading a copy of attendance records for things such as:

  • Estimating billing for children's attended hours

  • Compliance documentation

  • Keeping track of absences for childcare subsidies

On the Reports page, tap on Routine export and select Attendance in the Routine drop-down menu:

The export is sent via email and the files can be saved to a hard drive and/or printed from there.

Note: The exported routines file will expire after thirty days. This means it must be downloaded from the email within thirty days of receiving it.


If the export has been successful, a green banner will appear at the top of the page:

Spreadsheet (.XLSX file)

If exported as a spreadsheet, the records are organised into three sheets:
1. Attendance summary
2. Absences by year to date
3. All attendance records

Once opened in a program like Excel for example, you can also manipulate these sheets further.

1. The attendance summary sheet presents attendance records in a scrollable calendar including a count of each child’s total hours present across the selected date range.

Note: If a child was signed in but not signed out, their record for that day will show as ‘⚠️ Incomplete’.

2. The absences by year to date sheet shows a total count of each child’s absences as well as the reason (if specified at the time of recording). For example:


Note: Irregardless of the selected date range, this sheet will always display the current year to date.

3. The routines sheet is an unformatted list of all attendance routine records taken from the selected date range showing times as well as notes and the educator who created the record. For example:

Once opened in a program like Excel for example, you can also manipulate these sheets further.


Printing attendance records

Some services may want to print a day's attendance records, as they appear on Storypark. You can save a webpage with attendance as a PDF for a digital record and then also print this if you require a physical copy.

Note: The steps listed below cover how to save a webpage as a PDF using Google Chrome - these steps will differ slightly depending on which internet browser you are using to access Storypark.

Save a webpage as a PDF:

  1. Right-click in your browser window and select print in the pop-up menu:

  2. This will open a window with print settings and a preview of the webpage you will be saving as a PDF

  3. Under Destination, select the option to Save as PDF:


  4. Tap Save and select the name and location of where you would like to save your PDF, you can then keep this PDF saved as a file on your device or print the PDF.
