App overview
The Storypark for Educators app is a companion to the website and makes it easier and faster to do the things you do most often. It helps educators to:
Create and share posts with your community using images, videos and attachments
Have conversations directly with your team
Document children's learning using images, video and text
Guide children to reflect on their own learning via a child-safe mode
Save and access draft, pending and published stories, so you can work from anywhere
Approve pending incident reports
Keep your work safe with offline support
Instantly share updates with a child's family, including daily routines
Receive and respond to comments and feedback
Quickly see the latest activity, so you can stay on top of new content, responses and communication
Not all Storypark features are available on the app. For example, management tasks like adding new children, inviting users, and creating or editing plans in the planning area.
You can still access all of these features on your mobile device by logging into the Storypark website (storypark.com) in your device's browser, such as Chrome, Safari or Firefox.
App guide
This guide is organised by the tabs that run along the side of the app when viewed on an iPad. The app is slightly different when viewed on an iPhone, see Storypark for Educators app on an iPhone for more information.
Home - view child profiles and their stories, moments, plans and notes
Conversations - view and create community posts and conversations
Activity - view updates across your service
My profile - check draft and pending stories and incident reports that need your approval; edit your profile, manage notifications and switch services
Create (+) - create new stories, child notes, community posts, conversations, routines, and forms and checklists.
Home: view children's stories, moments, plans and notes
Selecting Home shows all children in your current centre and their stories, moments, plans and notes.
Selecting a specific child shows you content related to only that child.
If your service has multiple rooms, you can view a room by tapping the select room icon and selecting the room.
This filters the children shown in the list to only those in the room. To view all content in your service, tap the select room icon, then select your service's name.
Viewing, editing and deleting stories
Tap on a story tile to view the full story. You can edit or delete it by tapping on the … icon.
Printing stories
To print a story, tap on the ... icon and select Export PDF. Choose from the print layout options, which are the same as on the website, then select Export. It takes a moment to create the PDF. Tap the share icon in the top right, then choose Print. From here, you can deselect any pages that you don't want to print.
Responding to stories
To respond or comment on a published story, tap Leave a response at the bottom of the screen. You can add images or videos from your photo library by tapping the camera icon. To take a photo, first open an album, then select the camera.
In the responses section at the end of a story, you’ll see a count of views, loves and comments on a story. Tapping the eye and heart icons shows you a list of who has viewed or loved it.
View routines, notes, plans, and moments
Using the menu at the top of the app, you can also view routines, notes, plans and moments at your current service or on a specific child's profile.
Comment on moments
To respond or comment on a moment, tap Leave a response at the bottom of the screen:
Community: Your Communities and Conversations
The Community section shows your communities (for your centre and rooms) and any conversations you're part of.
Any centre or room with new community posts will move to the top, and be shown in bold text. Community channels are marked with a small yellow icon:
Tap on any community post to see previous community posts, ordered by recent activity. Tap on a summary to see the full post, along with any images, attachments and responses.
Activity: Stay up to date with the latest activity
The Activity section includes updates about Stories, Community posts, Conversations, Planning, Child notes, Family moments, responses and invitations that relate to you. Tap on an update to view the full details.
Currently this doesn't include updates about your Educator Portfolio, so you'll need to access them through Storypark on a web browser. You may need to pull down to refresh and see any new updates in the app.
Me: drafts, approvals, your profile and settings
The Me tab is where you'll find your draft and pending stories, incident reports that need your approval, your profile and notification settings, the option to switch services, and help.
Draft stories
This is where you’ll find your drafts, created either on the website or in the app.
Draft stories is split into My drafts and Shared with me. Any draft story you've written or those where the editorship has been transferred to you, sits under My drafts. Any drafts you've been given view access to appear under Shared with me.
Once any draft story is published, it will disappear from its respective tab.
Shared draft stories can be filtered by the author's name from the drop-down menu.
Collaborate: Share a draft story
Educators can share their drafts with anyone else connected as an educator to their centre. Sharing a draft gives the recipient view-only access.
Sharing a draft
Create and save a new draft or access an existing one from your Draft stories. From the story's preview, tap the three dots ... button.
Select Share draft from the drop-down menu, then select one, several or all educators to share view access with by tapping their names. For services with a lot of educators, use the search bar to narrow the selection. Educators can be selected and deselected by tapping their names.
Tap the blue tick to confirm. This automatically sends an email and an in-app notification to the selected viewers. They'll now be able to view the draft under their Shared with me tab.
Unsharing a draft
Find the existing draft in the Draft stories tab. From the story's preview, tap the three dots ... button.
Select Share draft from the drop-down menu and deselect one, several or all educators by tapping their names. Use the search bar to narrow the selection, or Clear all to remove everyone at once.
Tap the blue tick to confirm. This automatically sends an email and an in-app notification to the deselected viewers to let them know they can no longer view the draft.
Collaborate: Change the editor of a draft story
Educators can transfer editorship of a draft to anyone else connected as an educator to their centre. Transferring editorship changes the story's author and passes access to another educator to edit, delete, share and/or publish the story.
There's no limit to the number of times editorship can be transferred, so it can be used to:
Reflect multiple educators' perspectives within one story
Pool knowledge of a child's learning and development, evolving stories as a teaching team
Pass stories by part-time staff or those going on leave onto others to complete in their absence
Provide mentoring among peers or across teams
Changing the editorship of a draft
Create and save a new draft or access an existing one from your Draft stories folder. From the story's preview, tap the three dots ... button.
Select Change editor from the drop-down menu to choose a new editor. Only one educator can be selected. Use the search bar to narrow the selection for larger services.
Tap the blue tick to confirm. A pop-up asks you to confirm, as transferring editorship means you'll lose edit access.
Once confirmed, the new editor is automatically sent an email and an in-app notification. They'll be able to view, edit, publish, and/or delete the draft, and it will appear under their My drafts tab. The educator who passed on editorship keeps view-only access. The new editor can remove your access if they wish.
Pending
If you're under story approval, or set up as an approver for other educators, you'll find pending stories here. If you're an admin educator at your service, you can also approve any pending incident reports here.
Manage notifications
Manage what you'd like to be notified about, by mobile and/or email, by tapping Notification settings. Toggle each preference on or off at any time. Tapping back saves your changes.
If you've disabled notifications in your Apple settings, this carries over to the Educators app. To change it, go to the Apple Settings app > Notifications, select the Storypark for Educators app, and make sure Allow Notifications is on.
Switch services
If you belong to multiple services or centres under one account with the same email address, you can switch between them.
To change the service you're viewing, tap the Me tab, then from the left-hand menu tap Switch services. This gives you options to select the service you'd like to view.
This filters what you see in the Children tab, but currently not what you see in Community or Activity.
Create: stories, notes, community posts, conversations, routines, forms and checklists
Tap the + button in the menu to open the Create menu. It opens as a set of cards that groups everything you can create in the app, so the action you want is easy to find.
The menu only shows the options your centre has switched on, such as attendance or forms and checklists. The layout also adapts to your device, so it works whether you're on a phone or a tablet in portrait or landscape.

Create a learning story or observation
You can add new learning stories from the + button by selecting Story. This will open the story editor, and the toolbar at the bottom lets you switch between the type of content you want to add.
To add images or video, select from the recent images shown, open the camera from the top of the images panel, or access all your images from the album icon (shown when the image tool is selected). Choose as many images as you like, and they'll be added in the order selected. By default, the images sit side by side. If you select an odd number, the first image is larger.

Trim your videos
Any video you upload to a story from your device can be trimmed for length. Tap the Edit button:
Press and drag on the arrows to adjust the start and end position. To preview the edited video, tap the play button at the bottom:
Tap the Use button when you are happy with the length of your video. This adds the trimmed video to your story.
Reorder your story content
Tap and hold on an image or text block to reposition it. A blue line shows where it will be placed. Position images side by side by dragging one to the left or right of another, or drag one above the other to make it bigger.
Saving, publishing or sending for approval
Your drafts are always saved by default when you close your story. Depending on whether your stories can be published, need to be approved, or you're approving someone else's, the top-right action will Publish, Submit or Approve and publish the story.
Offline support
If you lose your internet connection while working on a story, your draft is saved on the device so your work isn't lost. Once you're back online and in the app, it saves and syncs, and you'll see it on any other devices.
If you edit an older version of the story on the web before the version from the app has synced, it may be overwritten when your device reconnects.
Create a child note
You can add a new note from the + button by selecting Note.
Select the child the note is for.
Select a category, if your service uses them.
Add your note content. Use the toolbar at the bottom to switch between content types: text, media, attachments and links.
Tap Post.
Once posted, the note is viewable by the child's admin family members and other educators at your service.
Create a new community post
Add new community posts from the + button by selecting Community post and selecting either your service to post to all families and educators at your service, or select a room to post to educators and families within the room.
[IMAGE - keep existing: the community post composer. Verify - if this shows the old + Create menu rather than the composer, replace it with the new menu.]
To make an urgent community post, tap the three dots to the right of your post and select Notification settings.
Then select Mark as urgent.
The urgent feature may override notification settings and is intended for critical information only, such as unexpected centre closures.
Create a new conversation
You can start a new conversation with other educators and/or family members by tapping the + button and selecting Conversation.
Start a new conversation by selecting the recipients. You'll see a check appear next to their name.
Once you've selected all the recipients for the conversation, tap Done.
Add your note content. Use the toolbar at the bottom to switch between content types: text, media, and attachments.
Tap Send.
If you need to change the recipients before sending your message, tap the recipient names and unselect/reselect them.
If no family is listed, it may be that parent-teacher conversations are turned off at your service.
Create a routine
Add new routines from the + button by selecting the type of routine you want to record.
Select a single child, multiple children, or all children. You can also deselect any children by tapping on them again. You can filter this list of children by the centre or room, and search for a child's name within the selected group.
Add details for the record, adjusting the date and time if needed
Tap add to save the record

Create a form or checklist
If your service has forms and checklists enabled, you can create one from the + menu, grouped together in their own section. If you don't see this option, your centre hasn't switched it on and you should talk to your service admin.
To complete a form on the app:
Tap the + button and select the form you want to complete
Work through each field — tap a checklist item to tick it, and tap a text field to type your response using the on-screen keyboard
Tap Submit when you've finished
Your submission is recorded with your name and the date and time it was completed.
Forms and checklists only appear in the + menu when your centre has the feature enabled.
