How long incident reports stay on Storypark
Incident reports are saved indefinitely on Storypark, i.e. they are not deleted unless an Admin educator chooses to delete them. This applies even after a child leaves your service or their profile is deleted.
How to view past incident reports
For record keeping, this means you will be able to look at all incident reports ever created since your service started using this feature. Select the date you are interested in from the calendar and see that day's recorded routines. Then filter down just to incident reports:
Exporting incident report records outside of Storypark
If you need a copy of incident report records to keep outside of Storypark, these can be exported as a .CSV file from your service's Reports page. The export is sent via email and you can then save the files to a hard drive and/or print them from there.
On the Reports page, tap on Routine export:
Use the Routine drop-down menu and select Incident. From there, select one day or a date range, your whole service or one particular room and by a single child, multiple children or all children.
Once you've set the fields and tap the Export button, the records will be sent to the email address you are currently logged into Storypark with. From there you can download the records to print or own in the spreadsheet software of your choice.
Note: The exported file will expire after thirty days. This means you must download it from the email within thirty days of receiving it.
If the export has been successful, you'll see a green banner appear at the top of the page:

Selecting a date range
You can select one day, or a range of dates. Tap the arrow next to the date to bring up a calendar. The calendar will go back as far as the first routine recorded at your service. To select a date range, tap the start date and then the end date:
Note: The current day's date will stay circled in blue, even if it isn't included in the selected date range.
Printing incident report records
Some services may want to print a selected incident report, as it appears on Storypark. You can save a webpage as a PDF for a digital record and then also print this if you require a physical copy.
Note: The steps listed below cover how to save a webpage as a PDF using Google Chrome - these steps will differ slightly depending on which internet browser you are using to access Storypark.
Save a webpage as a PDF:
Right-click in your browser window and select print in the pop-up menu:
This will open a window with print settings and a preview of the webpage you will be saving as a PDF
Under Destination, select the option to Save as PDF:
4.Tap Save and select the name and location of where you would like to save your PDF, you can then keep this PDF saved as a file on your device or print the PDF.
